Codersly Booking Pro Documentation

Codersly Booking Pro is the premium extension for the free Codersly Booking WordPress plugin. It is built for businesses that need a complete appointment-booking system with multiple services, staff, locations, advanced schedules, online payments, customer accounts, staff portals, automation, and reporting.

Pro works inside the same Codersly Booking admin menu created by the Free plugin. When a valid Pro license is active, premium features replace the Free informational placeholders inside the existing menus and tabs instead of creating a second booking interface.

Important: Codersly Booking Pro requires Codersly Booking Free. Install and activate the Free plugin first, then install Pro and activate your Codersly Booking Pro license.

Installation

Step 1: Install Codersly Booking Free

  1. Download Codersly Booking Free from the Codersly website.
  2. Go to WordPress Dashboard → Plugins → Add New → Upload Plugin.
  3. Upload the Codersly Booking Free ZIP file.
  4. Click Install Now.
  5. Click Activate Plugin.

Step 2: Install Codersly Booking Pro

  1. Go to Plugins → Add New → Upload Plugin.
  2. Upload the Codersly Booking Pro ZIP file received after purchase.
  3. Click Install Now.
  4. Click Activate Plugin.
  5. Open Codersly Booking → License.
  6. Enter your purchase code or license key and activate it.
Always activate Codersly Booking Free before Pro. The Free plugin owns the main booking menu, base booking tables, public booking page, and shared admin interface that Pro extends.

License Activation

Codersly Booking Pro requires a valid active license to unlock premium features.

Activate the License

  1. Open WordPress Dashboard → Codersly Booking → License.
  2. Paste your Codersly-issued purchase code or license key.
  3. Click Verify & Activate.
  4. Wait for the successful activation message.
  5. Return to the Codersly Booking menus and refresh the page if needed.

License Page Actions

  • Verify & Activate: activates the current site.
  • Validate: checks the stored license with the Codersly license service.
  • Deactivate: removes the current site from the license before moving or replacing the installation.

License Summary

The License page can display the product, source, domain limit, domains used, expiry information when supplied by the license server, last validation time, and the last license error.

If Pro menus show an activation message, first confirm that Codersly Booking Free and Pro are both active, then validate the license again from Codersly Booking → License.

Initial Setup

Complete the core configuration before accepting live appointments.

Recommended Setup Order

  1. Install and activate Codersly Booking Free.
  2. Install and activate Codersly Booking Pro.
  3. Activate the Pro license.
  4. Review Settings → General and choose the booking-form style.
  5. Configure currency, tax, and any additional booking fee in the shared booking settings.
  6. Create your service categories and services.
  7. Configure service duration, pricing, buffers, notice rules, capacity, recurring options, extras, and payment rules.
  8. Create staff members and service locations.
  9. Assign services to the correct staff and locations.
  10. Configure the business schedule, then add staff/location schedules and special dates when required.
  11. Configure booking rules, form fields, notifications, and reminders.
  12. Configure WooCommerce payments only if online payment is required.
  13. Review the automatically created frontend pages and portal shortcodes.
  14. Place a complete test booking before going live.

Frontend Pages and Shortcodes

Codersly Booking Free owns the central frontend-page registry. Pro extends that registry with licensed customer and staff portal pages.

Automatic Page Creation

The plugin creates or repairs required frontend pages through the shared Codersly Booking page manager. Missing shortcodes can be appended without replacing unrelated customized page content.

Repair Missing Pages

  1. Open Codersly Booking → Settings → Frontend Pages.
  2. Review the registered pages and their shortcodes.
  3. Use the available page-repair action if a required page was deleted or a shortcode is missing.
Pro portal shortcodes are available while the Pro license is active. If Pro becomes unavailable, existing portal pages display a safe unavailable message instead of exposing raw shortcodes.

Admin Dashboard

The WordPress administrator manages the booking system from the existing Codersly Booking menu.

Dashboard Summary

The Pro dashboard includes quick statistics such as today's appointments, pending appointments, approved appointments, and collected revenue from paid bookings.

Free remains the owner of the admin menu and tab shell. Pro injects the live licensed feature content into those same screens.

Services and Categories

Codersly Booking Pro supports multiple services and service categories. Each service can have its own appointment rules, pricing, capacity, recurring settings, extras, and payment behavior.

Extras can be added to a service and selected by customers during booking.

Service Categories

Use the Categories tab inside Services to organize services under reusable category names and slugs.

An extra can extend both the final price and the appointment duration, so availability is calculated using the selected extras before the booking is saved.

Staff and Locations

Staff Members

Create staff profiles and assign the services each staff member can perform.

For a staff member to use the frontend Staff Portal, link that staff record to the correct WordPress user account.

Availability and Schedule

Pro availability can combine the business schedule with staff and location schedules so customers only see appointment times that satisfy the required availability rules.

Schedule Types

  • Business schedule: the overall business opening availability
  • Staff schedule: working hours for an individual staff member
  • Location schedule: opening hours for a selected location

Weekly Availability

Each weekday can be open or closed and can contain up to two configured working shifts.

Holidays and Special Dates

Add a special date to close the day completely or define different opening hours for that date.

External Calendar Busy Times

A staff profile can use a private iCalendar feed from services such as Google Calendar, Outlook, or Apple Calendar. When external blocking is enabled, imported busy periods can be excluded from available booking times.

If a service, selected staff member, or selected location is unavailable for the requested period, the slot should not be offered to the customer.

Public Booking Form

The Pro booking form replaces the Free renderer while Pro is active and extends the public [codersly_booking] shortcode with advanced choices and pricing.

Typical Customer Booking Flow

  1. Select a service.
  2. Select an available staff member or choose Any available staff.
  3. Select a location or choose Any location.
  4. Select the appointment date.
  5. Load and choose an available time slot.
  6. Choose the number of attendees when group capacity is enabled.
  7. Select a recurring pattern and number of appointments when recurring booking is enabled.
  8. Select optional service extras.
  9. Enter a coupon code when available.
  10. Enter customer name, email, phone, and configured booking-form fields.
  11. Accept the terms when terms acceptance is required.
  12. Submit the booking and complete WooCommerce payment when payment is required.

Customer Timezone

The booking form can detect and store the customer timezone while the business schedule remains based on the configured WordPress/business timezone. This allows appointment times to be presented more clearly for customers in different timezones.

Recurring and Group Appointments

Recurring Appointments

Recurring booking can be enabled separately for each service.

The service can also define the maximum number of appointments allowed in one recurring series.

Recurring Availability Validation

The system validates each appointment in the requested series. If one of the requested dates cannot provide the selected service, staff, location, capacity, or time, the recurring request is not silently created with an invalid occurrence.

Group Booking Capacity

Services can accept more than one attendee for the same appointment slot.

Extras and Group Pricing

Selected extras are added to the booking price and can also increase the total service duration. Coupon discounts, booking fees, taxes, and payment rules are then applied to the calculated booking total.

For a normal one-to-one service, keep the minimum and maximum attendee values at 1.

Open Codersly Booking → Appointments to review and manage booking records.

Appointment Details

Pro appointment details can include the booking ID, customer contact information, service, staff, location, date and time, attendees, recurring series ID, coupon, customer timezone, total price, status, payment status, meeting URL, extras, notification activity, and payment information.

Manual Appointment

Administrators can create an appointment manually by entering the customer, attendee count, service, staff, location, date, time, and optional meeting URL. The selected service capacity and schedule rules are still validated.

Status Updates

Administrators can update appointments to supported operational statuses such as approved, completed, cancelled, no-show, or pending. Status changes can trigger customer notifications and configured webhook events.

Codersly Booking Pro unlocks advanced appointment calendar views inside the shared Calendar menu.

Codersly Booking Pro provides customer records and booking history through the Customers menu.

Verified Customer Accounts

When customer registration is enabled, customers can create an account from the Booking Account page. The account uses email verification before protected customer booking records are shown.

If a customer has not verified the account email, the portal can require verification and send a new verification link before displaying protected appointment records.

The Staff Portal only shows appointments assigned to the staff record linked to the currently logged-in WordPress user.

Codersly Booking Pro can use WooCommerce to collect booking payments. WooCommerce and your chosen WooCommerce payment gateway must be installed and configured separately.

Coupons

Create percentage or fixed-amount coupons with optional service restrictions, minimum booking amount, usage limit, start date, end date, and active/inactive status.

WooCommerce performs the actual payment processing through the payment gateways configured on your website. Codersly Booking Pro connects the booking record to the related WooCommerce order and payment state.

Notifications and Reminders

Codersly Booking Pro provides editable email templates, scheduled reminders, and delivery logs.

You can enter up to ten reminder times as hours before the appointment. For example:

Template Tokens

Available message tokens include booking ID, customer name, service, staff, location, business and customer date/time, attendee count, recurring-series information, extras, status, cancellation URL, rescheduling URL, meeting URL, Google Calendar URL, and Outlook Calendar URL.

For reliable production email delivery, use a correctly configured SMTP or transactional-email solution and test reminder delivery before accepting live bookings.

Integrations

Private iCalendar Subscription

Codersly Booking Pro generates a private iCalendar feed that can be subscribed to from Google Calendar, Apple Calendar, or Outlook.

Staff External Calendar Blocking

Each staff profile can optionally contain a private external iCalendar URL. When external calendar blocking is enabled, busy periods from that feed are considered when determining staff availability.

Google Calendar and Outlook Links

Customer booking records can provide add-event links for Google Calendar and Outlook. These links open the selected calendar service when the customer clicks them.

Outgoing Webhooks

Configure a Webhook URL to send booking, payment, status, and rescheduling events as JSON to an external endpoint.

When a webhook secret is configured, Codersly Booking Pro signs the request using an HMAC-SHA256 signature so the receiving system can verify the payload.

WooCommerce

WooCommerce is used only when you enable online booking payments. The payment is processed by WooCommerce and whichever WooCommerce gateway your site has configured.

Only configure webhook endpoints and private calendar feeds that you trust. External-service availability and third-party configuration are outside the plugin itself.

Troubleshooting

Pro features are not appearing

  • Confirm Codersly Booking Free is installed and active.
  • Confirm Codersly Booking Pro is installed and active.
  • Open Codersly Booking → License and validate the license.
  • Clear the WordPress cache, object cache, CDN cache, and browser cache.
  • Refresh the Codersly Booking admin page.

Booking or portal page is blank

  • Confirm that the page contains the correct shortcode.
  • Use Settings → Frontend Pages to repair missing pages.
  • Go to Settings → Permalinks and click Save Changes.
  • Check whether the active theme or page builder is suppressing shortcode output.

No appointment times are available

  • Confirm the selected service is active.
  • Confirm the business schedule is open for that day.
  • Check the selected staff and location schedules.
  • Check special dates or holiday closures.
  • Check minimum notice, maximum advance days, buffers, and group capacity.
  • If external calendar blocking is enabled, check the staff iCalendar feed.

Customer cannot open the portal

  • Confirm customer registration is enabled when registration is expected.
  • Confirm the customer is logged in.
  • Complete email verification.
  • Confirm the Customer Appointments page contains [codersly_booking_portal].

Staff Portal shows no active staff profile

  • Open the staff record in WordPress admin.
  • Confirm the staff status is Active.
  • Link the correct WordPress User ID to the staff profile.
  • Confirm appointments are assigned to that staff member.

WooCommerce payment is not available

  • Confirm WooCommerce is installed and active.
  • Configure at least one WooCommerce payment gateway.
  • Enable booking payment in Settings → Payments.
  • Review the service-level payment rule and WooCommerce Product ID when used.

Reminder emails are not being sent

  • Confirm reminder hours are configured.
  • Confirm WordPress cron is working.
  • Check Email Logs.
  • Configure a reliable SMTP service and review spam filtering.

Useful Links

Keep a copy of your purchase information and license key in a secure location. Do not publish private license keys, private calendar feed URLs, or webhook secrets.

Does Codersly Booking Pro work without the Free plugin?

No. Codersly Booking Free must be installed and active because it owns the core booking foundation, public booking page, menu shell, and shared plugin infrastructure.

Does Pro create a second Codersly Booking admin menu?

No. Pro unlocks premium content inside the same Codersly Booking menus and tabs created by the Free plugin.

Can I create multiple services?

Yes. Pro supports multiple services, categories, custom duration, price, buffers, notice rules, booking limits, capacity, recurring settings, extras, and payment rules.

Can customers book recurring appointments?

Does the plugin support group bookings?

Can staff manage their assigned appointments from the frontend?

Yes. Link an active staff record to a WordPress user and use the Staff Portal shortcode. Staff can review assigned bookings and update supported appointment statuses.

Does Codersly Booking Pro process payments itself?

No. When online payment is enabled, payment processing is handled by WooCommerce and the WooCommerce payment gateways configured on your site.

Does the plugin support deposits?

Yes. Payment rules can use full payment, percentage deposits, or fixed deposits, with global settings and service-level overrides.

Can staff external calendars block busy times?

Yes. A staff profile can use a private iCalendar feed and enable calendar blocking so external busy periods affect booking availability.

Are reminder emails supported?

Yes. Up to ten reminder times can be configured as hours before an appointment, and reminders are processed through WordPress cron.

Can I export appointments?

Yes. Pro provides advanced reports and a structured CSV appointment export through Settings → Tools & Data.

What happens if the Pro license is inactive?

Premium content is not unlocked while the license is inactive. Existing Pro portal pages show a safe unavailable message rather than exposing raw shortcode text.
